The Challenge: Licensing costs from an API integration in Power Apps

Broekhuis faced a challenge when retrieving information from another system stored in an API and pulling that data into their Power Apps application. The initial approach — embedding the API directly into Power Apps — would have required purchasing additional licences for every user accessing the app, leading to significantly higher costs organisation-wide.

A previous consultant had advised that there was no way around the extra licensing. Broekhuis needed a developer who could challenge that assumption and find a smarter path forward.

The Solution: Power Automate HTTP connector — one licence, whole organisation

Tunga developers Awele Okolie and Emmanuel Obute joined the team and took a different approach. Instead of embedding the API directly into Power Apps, they used Power Automate's HTTP connector. This allowed only the developers to retrieve the data, which could then be cascaded across the organisation, enabling all users to access it without requiring additional licences.

Awele framed the solution not just in terms of technical feasibility but in how it aligned with Broekhuis' goals: reducing costs, improving efficiency, and accelerating delivery. When the product owner initially pushed back, Awele explained the approach clearly — and management quickly approved it once its value was evident.

The team also built a reusable, low-code framework with clear documentation so any team member could maintain or adapt the integration without rewriting it from scratch.

The Result: A seamless, scalable, and cost-free data integration

The solution eliminated unnecessary per-user licensing costs entirely. Broekhuis continued to rely on the Power Automate integration to retrieve data across multiple systems and build reusable forms throughout the organisation. The framework scales with future needs without requiring major changes each time.
